Give every enquiry a clear next step.

A receptionist workflow should help a customer reach the right next step while keeping your business in control of what is promised. Receptionist is an included managed agent that Titus can coordinate alongside the rest of your configured workflow.

01

Collect the details that make an enquiry useful

Start with the information your team needs to respond: the reason for the enquiry, relevant service or location, and a permitted way to follow up. Agree the questions in advance so the customer is not asked for details that the workflow does not need.

The agent follows the business instructions configured for the deployment. Answers about services, availability or next steps need an approved information source. Where an answer is missing or the situation is unusual, the workflow needs a human handoff.

02

Booking follows your rules

Booking is part of a receptionist setup only where the required system and action are connected and authorized. Agree which appointments can be offered, the information required, conflicts to check and the point at which a person must approve.

A request to book and a confirmed booking are different outcomes. The customer should receive the status established by the connected workflow. Without verified availability or permission to create an appointment, the next step is to collect the request or ask a person.

03

Define the human handoff

Choose an owner for enquiries that fall outside the instructions. Discuss which requests need immediate human attention, what happens when that person is unavailable and what context should be included in the handoff.

Titus can coordinate the connected agents you select. For example, an enquiry may become a Sales Follow-Up task after its details are captured. That handoff must be agreed and configured; adding Receptionist does not automatically activate another agent.

04

What we scope before launch

Bring the current enquiry path, common customer questions, approved answers and the next action your team expects. We discuss channel and number setup, any connected booking system, contact permissions and the exceptions that must reach a person.

Test a routine enquiry, a missing-detail case, an unavailable time and a request outside scope. Service hours, capacity, escalation arrangements and commercial terms belong in the agreed setup. This page does not promise universal coverage or a fixed response time.

Illustrative workflow

A customer asks about a service appointment

  1. 01

Receptionist collects the service request and the details agreed for intake.

  2. 02

It uses approved information and checks availability only where connected.

  3. 03

An exception or approval request reaches the chosen human owner.

  4. 04

Titus carries the relevant context into the configured next step.

An example to discuss during setup. Available actions depend on the connected systems, selected agents and approval rules configured for your business.

Before you start

Can Receptionist confirm appointments?

Only where the connected booking system, permissions and rules support that action. Otherwise, it can be scoped to collect the request for review.

Does it replace my existing enquiry process immediately?

The routing and handoff are agreed and tested before switching the customer-facing path. Existing contact routes should remain available during that transition.

Can I add follow-up later?

Yes. Sales Follow-Up is included in both plans. We scope its triggers, contact permissions and handoff separately rather than assuming every enquiry should receive an automated message.

Bring one task you want help with.

Tell us how it works today, which systems are involved and where a person must make the decision. We will confirm the scope, available actions and commercial terms before you start.
